RULES

1. TITLE
The Club shall be called Clifton Arts Club (operating as Clifton Arts )
2. OBJECTIVES
- To promote the visual arts and encourage artists in Clifton and the surrounding areas;
- To organise an annual programme of events to help members develop as artists and encourage a
wider and more informed appreciation of art;
- To organise exhibitions for the benefit of the members.
3. CONSTITUTION
The Club shall consist of two classes of members, viz:-
- Ordinary Members who will be able to take part in all club activities including the right to vote at
General Meetings
- Honorary Members who shall be well known artists or other persons who, in the opinion of the
committee, will be likely to aid in the advancement of the Club and also have the right to vote at
General Meetings.
4. MANAGEMENT
Management shall be by the Committee, elected at the Annual General Meeting (AGM)
- The Committee shall consist of a Chairman, a Secretary and a Treasurer plus an appropriate number
of other members required to manage the Club activities. The Committee will also nominate a Vice-
Chairman
- The Committee members should hold a post for a maximum of three years generally, subject to annual
re-election at the AGM. This will allow for rotation of duties, or new committee members to be
elected, and enable fresh ideas to come through. In exceptional circumstances a committee
member may continue in the same post for more than three years subject to the annual re-election at
the AGM.
- The Committee shall have the power to co-opt additional Club Members to serve on Sub-
Committees as required.
- The President and Vice President(s) shall be nominated by the Committee and declared at the AGM
5. COMMITTEE MEMBERS
Fourteen days prior to the AGM the Committee shall issue to every member a list of the current Committee
members, and the proposals for the new committee, including vacancies. Such list shall also give the names of
those members proposed for election to the vacancies identified (permission of proposed member to be
obtained beforehand). Any member who wishes to propose any other names for election to the Committee
shall give notice in writing to the Secretary seven days before the AGM.
6. COMMITTEE MEETINGS
The Committee shall meet whenever summoned by the Secretary or by the direction of the Chairman.
7. FINANCES
- All monies shall be deposited by the Treasurer in the name of the Club and no payments shall be made there
from except by the Treasurer with the sanction of the Committee.
- No expenditure shall be incurred without the consent of the Committee.
- A list of eligible signatories for cheques and bank related documentation is retained by the Chairman and
available to the Committee. A list of those eligible to access internet banking is retained by the Chairman and
available to the Committee.
- A budget for the Club activities shall be declared at the AGM
8. ELECTION OF MEMBERS
Candidates for membership of the Club shall apply on the official form for consideration by the Membership
Secretary on behalf of the Committee.
9. ADMINISTRATIVE YEAR
The administrative year of the Club shall end on 31st December in every year and subscriptions are payable on
1st January. Members joining from 1st September will pay a subscription taking membership through to 31st
December of the following year.
10. SUBSCRIPTION
- The annual subscription shall be revised and decided at the AGM by a two thirds majority vote by members at
that meeting.
- The members will be reminded of the need for subscription renewal at least one month before the end of the
year. Three months into the new year, those who have not renewed are to be contacted and their intentions
towards club membership determined.
11. RESIGNATION
Any member wishing to resign his/her membership during the year shall give notice in writing to the
Membership Secretary
12. RULES AND BYE-LAWS
The Committee shall have the power to make any Bye-Laws for the management of the Club, consistent with
these Rules, and from time to time alter these when necessary at the AGM.
13. DECISIONS
All members to accept the decision of the Committee as final and binding.
14. ANNUAL GENERAL MEETING
The Annual General Meeting (AGM) of the Club shall be held in February/March to receive the reports of the
Committee on the state of the Club and also the Accounts and Balance Sheet.
15. SPECIAL GENERAL MEETING
Any ten members shall have power, by application to the Secretary, to requisition a Special General
Meeting at not less than a week’s notice.
16. DATA PROTECTION AND DATABASE
- A database of members will be retained, accessible by those committee members needing information and
granted access by the Membership Secretary or Chairman
- GDPR (General Data Protection Requirements) and Data Protection Act 2018 will be adhered to as determined
by the policy created by the club committee and issued to members. The policy and club adherence to it will
be reviewed by the committee annually and a statement made at the AGM.
